Role Description
This is a full-time role located in Sydney providing administrative and coordination support across the Foundation’s program portfolios. This is a hands on, detail driven role that combines grants administration with executive style coordination support to program teams. The role is responsible for ensuring priorities, travel, meetings, documentation and systems are proactively managed so the program teams can operate efficiently.
The role suits someone who enjoys keeping complex work organised behind the scenes and takes pride in ensuring teams are well prepared and supported.
Responsibilities
The Program Support Officer will support the program teams across core administrative and coordination functions, including:
- Managing portfolio inboxes and logging inbound enquiries.
- Coordinating calendars, meetings, and domestic and complex international travel arrangements.
- Maintaining opportunity trackers and contact records.
- Updating and managing data within the Foundation’s Grant Management System.
- Monitoring key deadlines and supporting program compliance processes.
- Assisting with grant setup and internal workflow coordination.
Key skills and attributes
- Strong organisational skills and ability to manage competing priorities across multiple stakeholders.
- Demonstrated experience working with databases, grant management systems or CRM platforms.
- Experience providing administrative or coordination support within a professional environment.
- Experience coordinating domestic and international travel and complex scheduling.
- High attention to detail and clear written communication skills.
- Professional, reliable and strong interpersonal skills.
Qualifications
- Any academic background will be considered, however, the right candidate will have a demonstrated track record of relevant experience.
- 3–5 years’ experience in administrative, coordination or grants support roles within a professional environment.
- Experience working with grant management systems, CRM platforms or structured databases.
Other information
- Must have full working rights in Australia.
- Occasional work outside standard business hours to support international travel and time zone differences.
